How Far in Advance Should You Book Your Mandap?

Once your venue and date are confirmed, your mandap should be close to the top of your list. Popular dates go quickly, particularly in the summer and around auspicious dates in the Hindu calendar. Here is how to time your mandap hire so you secure the design you love without feeling rushed.

The short answer: as soon as your venue is confirmed

The best time to book your mandap is shortly after you have confirmed your venue and wedding date. At that point you know the space you are working with, and you can reserve your date before it is taken. Booking a year or more ahead is sensible, especially for weekends between late spring and early autumn.

You do not need every detail decided to secure your date. A 25% deposit holds your booking, and the finer points of florals, colours and styling can be refined as your plans take shape.

What affects mandap availability

Mandap suppliers can only be in so many places at once. Each installation needs a dedicated team, transport and time, so some dates are in much higher demand than others.

  • Peak season: summer weekends and bank holidays are the first to fill
  • Auspicious dates: muhurat dates chosen by pandits often see several Hindu weddings on the same day
  • Specific designs: if you have your heart set on a particular mandap, such as The Amara or The Noor, booking early secures that exact structure
  • Complex installations: elaborate luxury or outdoor set-ups need more time and team capacity

A suggested timeline for mandap hire

Every wedding is different, but this timeline gives a sense of how the process typically unfolds once you have chosen a supplier.

  • As soon as the venue is booked: enquire, receive a tailored quote and pay a deposit to secure the date
  • Several months before: attend a viewing by appointment and confirm your design direction
  • A few months before: finalise florals, colours, seating and lighting, and share details with your venue
  • In the final weeks: confirm access, installation and removal timings with the venue and your planner
  • On the day: installation usually takes two to four hours before the ceremony

Booking a mandap at shorter notice

If your wedding is coming up soon, do not assume it is too late. Availability depends on the specific date and location, and shorter-notice weddings can sometimes be accommodated, particularly midweek or outside peak season. The key is to get in touch quickly with your date, venue and guest count, and to stay flexible on style if your first choice is already booked.

Fresh flowers and certain bespoke details may need more lead time, so premium faux florals can be a practical option for tighter timelines.

It also helps to have your venue’s requirements to hand when you enquire at short notice. Knowing the installation window, the access route and the venue’s position on a havan allows us to confirm quickly whether a particular design can be delivered on your date, and to suggest suitable alternatives if not.
